Office Manager – London

The Office Manager role has ownership of the quality and presentation of the NMG London office. The role is often the first point of contact for visitors to the office and acts as a liaison with other NMG offices.

Summary Statement

The Office Manager assists with local administrative requirements and interactions with central HR, Finance, and IT support. Excellent interpersonal skills are essential, along with exceptional organizational abilities and pride in running a tight ship.

This role will operate on a part time basis, working five hours per day across four days (Monday – Thursday). This role will be required to work on site at the NMG London office in Liverpool Street.

Key Responsibilities

  • General Administration Responsibilities: a) Ensure smooth running of the local office; b) External and internal event management; c) Coordinate local and international travel, and related documentation including visa application requirements; d) Answer and direct inbound calls.

  • General Administration Responsibilities: e) Manage suppliers, service contracts (communications, IT etc) and local office subscriptions, address issues promptly; f) Manage meeting room bookings, organise catering requirements; g) Organise team meetings, video and conference calls; h) Coordinate courier and mail and maintain records.

  • General Administration Responsibilities: i) Attend and contribute to monthly Operations call; j) Coordinate local participation in annual Charity Challenge activities; k) Coordinate incentive vouchers for programme participants and Shout Out vouchers for staff; k) Ensure UK office related information / details are updated at relevant areas e.g., website, intranet etc. l) Manage and maintain NMG UK office forms and templates.

  • Premises/Assets: a) Ensure physical office environment is professionally presented, organised, and clean; take prompt action to rectify issues; b) Maintain and update contracts, office leases and insurance policies; c) Liaise with building manager(s) and landlords, attend fire warden training, maintain office access cards; d) Coordinate replenishments for consumables, stationery or office supplies; and e) Coordinate equipment maintenance and purchases.

  • IT Administration: a) Maintain service records for office equipment and up-to-date inventory of technology; b) Liaise with NMG's IT Helpdesk where required (i.e., ensuring laptops are set up on time and appropriately for new joiners) c) Monitor and supervise external IT support, on-site visits and service level agreements; and d) With the Head of Operations, manage software and hardware licenses.

  • Finance Support: a) Maintain record of purchases; b) Review local office expenses payments; c) Liaise with central Finance team including timely processing of requests; and d) Coordinate and review supplier invoices, staff expenses and credit card statements.

  • Human Resources Support: a) Assist with light administration including onboarding/offboarding of staff and b) Conduct induction training (IT, Expensify, TSheets) for UK new joiners.

Competencies, Qualifications & Experience

  • Tertiary or diploma qualifications; minimum of 5 years of relevant experience; extensive experience with Microsoft Office Suite, particularly Word, Excel and PowerPoint.

  • Committed to confidentiality; Demonstrate high standard of administrative skills and abilities.

  • Committed to meeting deadlines, multi-task, and work well under pressure in a fast-paced environment; experience in reviewing and improving procedures and systems to improve the smooth running of the office.

  • Proven ability to work well as part of a team, but with initiative to work independently; strong interpersonal and communication skills.

  • First aid training preferable, otherwise NMG will be able to provide.
