We have an opportunity for a Program Coordinator/Project Assistant to oversee global, Australian and New Zealand interview-based insights programs by tracking end-to-end delivery for key projects.

We have an opportunity for a Program Coordinator/Project Assistant to oversee global, Australian and New Zealand interview-based insights programs by tracking end-to-end delivery for key projects. The successful candidate will have strong interpersonal and communication skills. Some experience in the Financial Services sector will be an advantage.

​Based in Sydney and responsible for supporting the Sydney office, this position will suit an individual with strong organisational skills and the ability to prioritise workloads. You will need to work effectively across multiple programmes and stakeholders.

Program Coordinator/Project Assistant

Location:

Key Responsibilities

  • ​Work with senior stakeholders and project owners to develop and coordinate realistic project timelines and resourcing plans across multiple projects, geographies and time zones

  • ​Liaise with colleagues on interviews scheduled, ensuring these are scheduled in diaries with relevant contact details, and all interviews are completed in the agreed timeframe

  • Coordinate and foster positive relationships with external associates and suppliers

  • ​​Analyze program risks and produce accurate and timely reporting of program status throughout its life cycle

  • ​Liaising with data entry teams to align deliverables to timelines and ensure on time delivery

  • Manage meetings and scheduling, coordinating key stakeholders

  • ​Track all interview activity (scheduled and rescheduled, completed, declines, delegations, referrals. etc.) in master program schedule

  • ​Provide updates on status regularly and follow up on action items

Competencies, Qualifications & Experience

  • ​Highly organised individual with proven ability to successfully coordinate several projects or programmes

  • ​Strong communication (both verbal and written) and interpersonal skills

  • ​Tenacious, achievement-driven and a self-starter with ability to manage deadlines and work well under pressure

  • ​Confident to interact with senior management

  • Proficient Microsoft Office technical abilities

  • Experience in the Financial Services sector including Asset Management &/or Insurance (preferred, not essential)
